How the calculator works
- Enter the attendance requirement. Choose a listed percentage or enter a custom value from 0% to 100%.
- Choose the period and location. Select a month or longer period, then choose your Australian state or territory.
- Set your working pattern. Confirm your usual weekdays, add optional preferred office days and enter any annual leave.
- Generate and adjust the schedule. The calculator suggests office days across the period. Activate any eligible day in the calendar to switch it between Office and WFH.
Eligible working days
The calculation starts with every date in the selected period. A date is eligible only when it falls on one of your selected usual working weekdays and is not an excluded public holiday or annual leave day.
Public holidays take precedence when they overlap with annual leave. This prevents the same date from being counted twice. School holidays are shown only as an optional calendar annotation and never reduce the number of eligible working days.
Office percentages and rounding
The minimum number of office days is calculated from the eligible working-day total:
Eligible working days × required office percentage
When the result contains a partial day, it is rounded upwards to the next whole office day. For example, 21 eligible working days at 60% equals 12.6, so the minimum is 13 office days.
Public holidays
A supported public holiday reduces the eligible working-day count only when it falls on a weekday you normally work. The launch dataset covers full-day public holidays for 2026 and 2027. Regional, local and part-day holidays are not included, and some statewide holidays can vary by region.
The dataset was reviewed against the Fair Work Ombudsman's public holiday information. If any part of a selected period falls outside available coverage, the calculator shows a warning instead of silently assuming there are no public holidays.
Annual leave
You can add multiple annual leave periods. Leave removes dates only when they fall inside the selected calculation period and on one of your usual working weekdays. Overlapping or directly adjoining ranges are combined before the calculation.
If annual leave overlaps a public holiday, the date is treated as a public holiday for the calculator's exclusion and summary information.
School holidays
Government school holidays can be highlighted for the selected state or territory. New South Wales users can choose the Eastern or Western Division calendar. These dates provide planning context only. They do not affect eligible working days, the minimum requirement or your Office/WFH selections.
Private, independent and some local school calendars can differ. School holiday coverage at launch is limited to 2026 and 2027.
Preferred office days
Preferred office days are optional. When you select them, the suggested schedule gives those weekdays priority and then uses other eligible working days when necessary to reach the minimum.
When no preferred weekdays are selected, the calculator distributes office attendance neutrally across all eligible working days. Preferred days influence the initial suggestion only and never change the calculated minimum.
How suggested schedules are generated
The calculator spreads selected office dates across the period instead of filling the earliest eligible days first. The aim is a practical, predictable schedule with reasonable spacing. It is not an optimisation engine and does not consider travel time, team attendance, desk availability or personal appointments.
Manual calendar changes
Every eligible day in the calendar is an accessible button. Activating it switches the date between Office and WFH. Manual changes do not alter the minimum requirement, and the status panel shows whether the selected schedule is below, exactly at or above that minimum.
Local autosave
Settings and calendar adjustments are saved automatically in your browser's local storage. The information remains on that browser and device. No account or cloud storage is required.
The saved record includes a version number so future updates can migrate compatible data or discard incompatible data safely. Reset Calculator clears saved state and restores the launch defaults.
CSV and PDF export
CSV export creates a date-by-date file suitable for common spreadsheet applications, including Microsoft Excel. It includes the date, day, status, Office/WFH selection, public holiday, annual leave, school holiday indicator, state, reporting period and required percentage.
Print / Save PDF uses your browser's print function and a print-specific layout. Navigation, reset controls and other unnecessary interactive elements are excluded so the summary and calendar remain the focus.
Accuracy and limitations
Hybrid Work Calculator is an independent planning tool. It does not interpret an employment contract, enterprise agreement, award or employer policy. Your workplace may use a different attendance denominator, rounding method, averaging period or treatment of leave and holidays.
Always check the result against the policy that applies to you. Holiday dates can also change, and local or regional arrangements may not appear in the calculator.
Frequently asked questions
Why is the minimum rounded up?
A partial office day cannot normally be scheduled as a whole attendance day. Rounding upwards ensures the selected whole-day schedule reaches at least the required percentage.
Can I create a schedule below the minimum?
Yes. The calendar is a planning tool, so it does not block changes. The requirement status will clearly show how many days the schedule is below the calculated minimum.
Do school holidays reduce the office requirement?
No. School holidays are an optional visual indicator only. Public holidays and annual leave can reduce eligible working days; school holidays cannot.
Can I plan part-time work?
Yes. Deselect any weekdays you do not normally work. Only your selected usual working days are considered eligible for Office or WFH scheduling.
Where is my saved information stored?
It is stored locally in your current browser and device. The calculator does not require an account and does not send saved calculator state to a Hybrid Work Calculator server.
